Ark’s Change Management service supports clients who are relocating, consolidating, merging, or changing the way they work. Ark acts as the liaison between the client and employees to communicate change in various ways – communications, engagements, town halls, events, etc. – over the course of the project through move-in day. Our goal is to make the change as seamless, positive, and easy as possible for everyone impacted.

Ark’s Change Management Process

Enterprise Software Client London Relocation

We engaged with a leading enterprise software client in 2025 to provide change management support for their new London workplace. Ark partnered closely with the HLW design studio in London, who led the design of the 15,781 SF office, to ensure the design and vision for the future office was clearly communicated to employees throughout the transition. Ark worked closely with the client’s workplace team in the United States and the local London project team to develop a tailored change management program to prepare employees for the move and support the introduction of new ways of working along with some new space types. We recently kicked off another change management project with the same client in their Waterford, Ireland location!

Change Impact Assessment: At the start of the project, we developed a change impact assessment to help guide the process. This assessment is organized into different categories including site, functional space, amenity/social spaces, technology, behaviors/etiquette, policies, and culture to evaluate how each item exists today vs. how it will function in the future. This framework allows us to identity key shifts and how to messaging is communicated to employees. Establishing this assessment early is a vital first step in the process to ensure success and helps define focus areas and topics for upcoming change workshops.   

Communications Plan: At the onset of the change management process, we developed a change communications plan outlining what topics would be shared and when.

Change Advocate Workshops: We worked closely with ~10 Client Change Advocates over a nine-month period to support employee engagement throughout the process. We met monthly, alternating between in depth workshops and shorter 30-minute touch base calls. Workshops focused on specific themes like features & functions, technology & operations, new ways of working, and move logistics. The touch base calls allowed Change Advocates to share what they have been hearing, what questions are coming up, and we could provide brief project updates and responses to any previous session questions.

All Staff Town Halls: We developed and facilitated 5 all-staff Town Halls focused on project updates, change roadmap, move operations, security, what to expect day one, etc. Town Halls ensure staff receive consistent information at the same time and provides the space for employees to ask questions, raise concerns, and feel actively included in the process.

Welcome Guide: Ark produced a bespoke welcome guide for the client’s London office, including all the important information employees and visitors will need to succeed in the new office – a one-stop shop for all information from building information, security and access, technology, space types, etc.

Welcome Video: Working closely with a 3rd party media vendor, we developed a welcome video to give employees a sneak peak of the office and walk them through key aspects including the arrival experience, security/access, technology, and overall use of the space. This video not only serves as a welcome video for day one, but an on-going resource for employees to reference alongside the welcome guide in the weeks following the move.
